Booking calendar
When to book a reefer for events and catering
The events calendar in South Africa has two intense peaks and a steady middle. The fleet books up early. By early November the December calendar is largely full. By late January the autumn wedding window is filling. By June the spring sports calendar is filling.
Peak 1 · Festive
Late November – early January
Corporate year-end functions, weddings, family gatherings, religious and cultural events, year-end music festivals. Halaal-segregated cold storage is normal December planning — long-running accounts rent dedicated halaal units alongside their general fleet through this period. Book in September. Dedicated festive fleet is largely committed by mid-November.
Peak 2 · Wedding season
Late February – early May, again Oct–Nov
Four to six weeks ahead is the comfortable window for a wedding. Pull-down to operating temperature inside two to four hours, so a Friday morning delivery for a Saturday wedding works fine — but the delivery slot itself needs to be booked further out.
Sports tournaments
6–12 weeks ahead for 4+ units
Comrades, Two Oceans, Cape Cycle Tour, Currie Cup, cricket fixtures. Lead time runs longer because volumes are larger and placement coordinates with venue infrastructure.
Same-week emergency
Venue cold room failure or last-minute add
We do what we can with what's free. Sometimes the answer is yes within 48 hours. Sometimes it's a partial fleet. Sometimes it's no for that specific date but yes for the date after.
Honest version
If you cater seasonally and December matters to your business, the conversation should happen in September — not the booking, the spec, the count and the lead time. Book confidently in October. Last-minute December calls (December 12th asking for a unit by December 18th) often get a "next available unit is January 5th" answer, which helps no-one.
